How FIVE handles enquiry information.
This notice explains what happens to the information you provide when you contact FIVE through this website.
Who is responsible
FIVE SYSTEMS LTD, trading as FIVE, is the controller of the personal information described in this notice. The company is registered in England and Wales under company number 17407180. Information we collect
When you make an enquiry, we collect the information you provide directly: your name, email address, contact number, company, type and location of business, position, reason for contacting FIVE, preferred dates and times, and the page or service from which you opened the form. Website hosting and security providers may also process limited technical information such as IP address, device or browser information and request logs.
Why we use it
We use enquiry information to understand and respond to your request, send a receipt acknowledgement, arrange an initial conversation, assess whether a FIVE service may be appropriate, protect the website from misuse and maintain an accurate business record. The lawful bases are taking steps at your request before a possible contract and FIVE's legitimate interests in managing genuine enquiries, maintaining security and keeping appropriate records.
Is the information required?
You are not under a statutory or contractual obligation to provide personal information. Required fields allow FIVE to understand the enquiry, verify suitable contact details and respond meaningfully. If you do not provide them, the website form cannot be submitted; you may instead email FIVE directly.
Sharing and processors
Information is shared only where necessary with providers supporting the website, secure database, communications and business administration. This currently includes OpenAI's website services, Cloudflare hosting and database infrastructure, and Microsoft 365 for business email. FIVE does not sell personal information or share it for unrelated advertising.
International transfers
Some service providers may process information outside the United Kingdom. Where this happens, FIVE relies on an applicable UK adequacy regulation or contractual and organisational safeguards intended to provide protection consistent with UK data-protection law. You may ask FIVE for further information about safeguards relevant to your information.
Cookies and similar technologies
This website does not currently use advertising or non-essential analytics cookies. The hosting and security services may use strictly necessary technologies to deliver the site, protect it from misuse and maintain essential functionality. If FIVE introduces non-essential analytics, advertising or similar technologies, the site will ask for consent before using them and this notice will be updated.
How long we keep it
If an enquiry does not lead to work, FIVE normally reviews and deletes the enquiry record within 12 months of the last meaningful contact. If a business relationship begins, relevant correspondence and records may be retained for longer where necessary for service delivery, accounting, insurance, legal claims or regulatory obligations. Records are deleted or anonymised when no longer required.
Your rights
Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction or transfer, or object to processing based on legitimate interests. These rights are not absolute and may depend on the lawful basis and applicable exemptions. FIVE will normally respond within one month.
Your right to object
You have the right to object to processing based on FIVE's legitimate interests. You also have an absolute right to object to direct marketing. FIVE does not add website enquirers to a marketing list.
Complaints
Please contact FIVE first at hello@fivesystems.co.uk so the concern can be addressed. You also have the right to complain to the UK Information Commissioner's Office through its complaints service or by calling 0303 123 1113.
Automated decisions and marketing
FIVE does not use enquiry information to make solely automated decisions with legal or similarly significant effects. Submitting an enquiry does not subscribe you to marketing.
Changes to this notice
This notice will be updated when the way FIVE handles information changes. The date below identifies the version that applies to new website enquiries.
